JOB SUMMARY

This position is responsible for performing advanced loan servicing and documentation functions with a high degree of accuracy and require strict adherence to bank policies, procedures, and regulatory requirements. The role supports commercial, consumer and private banking loans through the full lifecycle—from documentation review and production to loan boarding, collateral processing, and post-close quality control.

 

ESSENTIAL FUNCTIONS

Loan Documentation & Review (35%)

  • Reviews credit approvals, legal documents – including those prepared by attorneys - and compliance materials to ensure accuracy, completeness, and alignment with internal standards.
  • Conducts quality control checks prior to document production and post-close.
  • Prepares loan documentation for various loan types using systems like LaserPro.
  • Ensures compliance with federal regulations and internal credit policies.

 

Loan Servicing & Boarding (30%)

  • Accurately boards complex loan types including participations and guidance lines using systems like Fiserv.
  • Validates loan entries and ensure data integrity for regulatory reporting.
  • Processes paid notes, escrow activities, and exception reports.
  • Uploads and verifies loan documents in the electronic document management system.
  • Conducts thorough secondary reviews of loan files post-boarding to ensure accuracy and completeness of all data entries.

 

Collateral & Compliance (20%)

  • Ensures lien perfection, including UCC’s, and maintain accurate collateral documentation.
  • Reviews flood certifications, title work, and tax verifications.
  • Maintains tracking systems and resolve documentation exceptions.

 

Customer Service & Communication (10%)

  • Responds to internal and external inquiries with professionalism and accuracy.
  • Issues payoff statements and supports post-close questions from other departments.

 

Team Support & Process Improvement (5%)

  • Assists in documenting procedures and training materials.
  • Provides back-up support and contributes to continuous improvement initiatives.
  • Exhibits leadership as an individual contributor by supporting the team and company through sharing of knowledge, leading by example, setting high standards for self and team, being accountable, demonstrating open communication, acknowledging and supporting other’s efforts, and providing feedback when appropriate. 

Performs other duties as required and assigned. 

 

KNOWLEDGE, SKILLS AND ABILITIES

  • Strong understanding of loan documentation, servicing, and compliance regulations (e.g., TRID, HMDA, RESPA, CIP).
  • Working knowledge and solid understanding of credit administration including documentation, perfection, collateral filings, title work, UCCs, flood requirements and exception resolution.
  • Solid knowledge of compliance regulations, including but not limited to: FLOOD, HMDA, CRA, CIP, TRID.
  • Understanding of all escrow processing tasks.
  • Solid understanding of loan services processes including boarding, collateral processes, paid notes processes, bill payment processes, exception resolution, etc.
  • Ability to handle heavy workloads, including multiple tasks and interruptions at the same time, and to be able to independently prioritize those tasks to meet deadlines.
  • Ability to provide a high level of customer service through effective and positive communication.
  • Ability to prepare loan documentation and complete pre-closing quality reviews, with a high degree of accuracy, to ensure exceptions and violations are avoided.
  • Ability to effectively communicate verbally and in writing.
  • Solid math and organizational skills.
  • Working knowledge of PC and Microsoft Word, Excel & Outlook.
  • Proficiency in loan systems such as LaserPro, LAS, Fiserv, and Director.
  • Excellent attention to detail, organizational skills, and multitasking ability.
  • Ability to complete compliance training by required deadline.
  • Ability to maintain regular and reliable attendance.

 

EDUCATION* 

  • Minimum of a high school diploma or equivalent required.
  • Courses or equivalent training in finance, accounting, or business preferred.

 

EXPERIENCE*

  • Minimum of 3–5 years of experience in loan documentation and loan servicing required.
  • Experience with attorney-prepared documentation preferred.

While performing the duties of this job, the employee is regularly required to stand; use hands to handle or feel; reach with hands and arms; and talk or hear. The employee frequently is required to walk. The employee is occasionally required to stoop or kneel. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, and depth perception.

 

WORKING CONDITIONS

This job operates in a professional office environment with normal office working conditions. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, etc.
